Create or clone a marketing email

Start from an approved template or a good past email and make it yours.

Purpose and outcome

Why it matters. Cloning saves time and keeps branding consistent, but inherited details must all be checked.

Expected outcome. A correctly named regular email linked to the right campaign, with every community detail updated.

When to use it

  • Any new marketing email.

Prerequisites and access

  • Campaign exists (SOP 09).
  • Audience segments ready.

Instructions

  1. 1

    Go to Marketing Email.

    Clone a suitable approved email, or create one from an approved template.

    Choose Regular for a one-time send. Choose Automated only if a workflow will send it.

    Rename it immediately using the convention.

    Update community name, dates, prices, links and images throughout.

Automated emails need a workflow

An automated email does nothing until a workflow sends it. Cloning an email never activates a workflow. Workflows are covered in Future training.

Caivan example

You clone last month’s Five Oaks email, rename it “GTA | Lakeview | Open House | Invitation | 2026-11-07”, replace every Five Oaks reference and image, and swap the campaign.
