SOP 07Draft — pending review

Create geographic and engagement segments

Segment by community, postal code, FSA and marketing email activity.

Purpose and outcome

Why it matters. Target people by where they live and how they’ve engaged, not only by stated interest.

Expected outcome. A segment based on populated location fields or marketing email activity.

When to use it

  • Regional promotions.
  • Following up with people who clicked a specific link.

Prerequisites and access

  • Confirmed that Postal code and FSA fields are populated.

Suggested roles (not yet approved): Marketing Coordinator, CRM Administrator (field setup)

Key concepts

What an FSA is

A Forward Sortation Area is the first three characters of a Canadian postal code, for example L6M in L6M 0A1. FSAs don’t line up exactly with municipalities, so do not treat an FSA as a city.

From training
Postal codes were normalized and a workflow extracts the first three characters into an FSA field. Verify current configuration before relying on it. (≈ 1:20:30)

Instructions

  1. 1

Open a saved view and add Postal code and FSA columns to check they’re populated.

    From training· ~1:21:30
  2. 2

Create a segment and add FSA is any of [approved list].

    Recommended practice
  3. 3

For community interest, use Associated Communities.

    From training
  4. 4

For marketing engagement, use marketing email activity filters (e.g. Marketing email open/click for a specific email).

Avoid similarly named sales email properties such as “Recent sales email opened date”; these track one-to-one sales emails.

    Recommended practice
  5. 5

For a specific link, filter on clicks of that link in that email.

    Recommended practice
  6. 6

    Spot-check sample contacts and save.

Caivan example

For a Five Oaks event, the team supplies an approved FSA list. You build “Oakville FSAs | Prospects | Active” and note that US postal codes won’t have an FSA.

Common mistakes and troubleshooting

Lots of blanks in FSA.

Older records may lack postal codes, or the workflow may not have run. Ask a CRM Administrator.
