SOP 15Draft — pending review

Test an email and obtain review

Two kinds of test, and a second set of eyes before anything goes out.

Purpose and outcome

Why it matters. Mistakes are easiest to catch before the send, especially on a busy Friday afternoon.

Expected outcome. Test emails reviewed on real devices and a second person has reviewed the email.

When to use it

  • Every email before scheduling.

Prerequisites and access

  • Content and settings complete.

Suggested roles (not yet approved): Marketing Coordinator, Marketing Reviewer

Don’t use “email contains caivan.com”

In training, that filter matched 194 contacts, far more than the team. Build the test group by listing exact addresses (SOP 05).

Approval process

Training discussed setting up HubSpot approvals so emails can’t be sent until approved.

Needs confirmation
Who approves, and whether native approvals are enabled and included in the subscription, are still decisions.

Caivan example

The coordinator sends a test to the reviewer, who catches a wrong phone number before scheduling.
